Alfred Property Management works primarily in London and the Home Counties, however can deliver property services across England.

The owners and senior management have been delivering property management services to the highest standards for over 35 years – we are an experienced and accredited residential property company. This knowledge means we have a greater understanding that managing apartment blocks requires a different skill set and services to managing residential estates.

Who we work with-  Working with a range of property developers from a National House Builder to a private investment estate, we utilise our expert manpower, latest online resources, and a trusted, certified, and insured network of contractors. We operate in line with and are regulated by the top organisations in the industry, including ARMA, RICS AND IRPM, and employ accredited residential managers with years of experience, which means we have the best teams using the correct internal procedures and controls to effectively manage any estate in London.

Block Management

Our 35+ years’ in block management, development, financial and customer service industries goes way beyond just maintaining living spaces.

Our apartment block management services include scheduled cleaning and general maintenance, redecoration of entrances and hallways and ensuring machinery and lifts have regular risk assessments. Residential Estate Management

Community based management services for residential estates of any scale.

To achieve the level our residential property management clients expect, our qualified teams ensure high standards of maintenance and repairs for all external areas such as green spaces, grounds maintenance, parking, as well as block communal areas. With mixed-use estates all apartment blocks have scheduled cleaning and general maintenance, including redecoration of entrances and hallways and we ensure that all machinery and lifts have regular risk assessments. Communities – Nurturing a thriving community (or placemaking) requires creativity and planning. We tailor everything to the site – it’s facilities and open spaces, as well as the needs of the people living there.

Providing group spaces, places for interaction and fun helps to promote a healthy lifestyle and a sense of belonging. We know it has to be done in the right way and with every consideration for the residents and environment alike. Whilst some ecological aspects of the site may seem prohibitive, to us they are an exciting challenge – such as creating a wildflower garden, an art gallery within a pavillion or an outdoor gym for all ages to enjoy.

Open Space Management

Open space management is important to the health and welfare of both wildlife and residents.

Maintaining natural habits helps to the protect species who were living there well before the site became a development, and we take consultation from environmentalist services to ensure stability of the landscape.

Financial Management

Protecting our clients’ and customers’ investments – we have internal resources that cover administrative functions such as finances.

Our financial management services include the preparation of budgets, organising billing and the collection of service charges from service charge property. We also advise on insurance policies and claims, and our property management system maintains up to date records of all transactions made.

Service charge management- The collection of service charges is of course the cornerstone of our role as a service charge management company. Without the payment of service charges there are no funds to deliver the services on a development. Our service charge team are highly experienced in the management of service charges from ensuring that service charge demands are sent out well in advance of the due date, to a robust but pragmatic credit control process for overdue accounts.

We use an industry recognised software system which supports both financial and property management operations. Regular reports for the client can be configured to reflect precisely the information the client requires. All reports are bespoke to each client.

Cost control- Clearly a vital part of ensuring strong financial management and the accuracy of the reports is strict cost control monitoring and correct allocation of expenditure. This begins with our internal procurement process which provides management oversight over obtaining quotes, instructing works and authorising invoices within set financial levels. The Property Management teams are responsible for monitoring these aspects to ensure the money we are entrusted with is used efficiently.

Contractor Management

Confidence in contractor choice. 

Whether it is a regular cleaning contract or replacing the roof, we take the same amount of care in ensuring our contractors are competent, properly insured, safe and provide value for money for our clients.

Before starting work on a property or development managed by Alfred, all contractors:

  • Are vetted by us or provide evidence of current CHAS Accreditation
  • Submit site-specific risk assessments and method statements (RAMS) for the work to be carried out,
  • Are issued with Permits to Work, (where necessary)

Suggested contractor list – Sourcing contractors with a good health and safety record allow our property teams, and the residents on the properties we manage, to be confident that the work is carried out safely. We maintain a list of approved contractors who are approached to tender for the work. We will not accept shortcuts and do not always select the cheapest quote. Instead, we prefer to work with competent, reliable contractors who are available locally to us wherever we are and provide value for money for our clients.

Helping RMCs – If you’re an RMC you may be considering choosing contractors yourself, however, this comes with certain responsibilities. Let us help with contractor procurement, by our H&S specialists vetting the contractors for you. This will reduce any risk that may come from a contractor injuring themselves, damaging third party or damaging your home whilst working on site.

FAQ

As the managing agent and property management company, we issue the requests for the service charge or estate charge to you on behalf of those that have responsibility for the upkeep of the communal parts (generally the freeholder or the resident management company).

The payments are paid to a service charge trust fund which is a ring-fenced fund, quite separate from Alfred, set up to pay the contractors and bills for your apartment building or private estate.

To register for the online portal, please contact us to check we have your current email address on record and letting us know that you would like to register. You will then receive an email with more details.

When selling your property that is managed by us, you will need to provide the purchaser with documentation, commonly called a management pack, which includes information on items like service charge account and budgets. We will also need to ensure that your service charge account is up to date.

Any conditions or restrictions on subletting your property will be included in your lease of title/deeds. In addition, you will need to contact us for permission to sublet your property and to let us know who your tenants will be.

Many leases do not permit keeping personal items in the common areas and the main reason is for fire safety. Personal items can create a fire hazard and also cause an obstruction in the event of a fire, making it more difficult for the rescue services to access the building or for residents to leave the building (if your building has an evacuation policy).

In addition, leaving personal items in the common areas can invalidate the insurance policy for your building, meaning the cost of repair or reconstruction may not be met by the insurer in the event of a claim.

When a new housing estate is built, the developer will contact the local council asking them if they will take on responsibility for the shared areas of the estate. If the council declines the offer, then the developer will appoint a managing agent to manage these areas. The services covered by the estate charge you pay will be detailed in your deeds and could include:

  • Maintenance of roads not adopted by the local council
  • Lighting of paths and roads
  • Gardening and cleaning of common areas
  • Company secretarial services to your residents’ management company

Many developments are released or sold in phases, so people will be living on the estate while construction is still underway. This can mean that some of the roads and common areas are not being maintained to the desired standard, as construction vehicles are still using those areas, or are still the responsibility of the developer. There will be areas that we are responsible for and we will be working hard to maintain these within the restrictions of the surrounding construction works. We may also be providing company secretarial support to your residents’ management company (if you have one) behind the scenes.

The service charge budget is based on the full development with all properties contributing and your portion of the charge will be billed on this basis, no matter what areas have been built or handed over. Any unspent funds are credited back when the service charge accounts have been produced at the end of the year.

When individual properties complete, the solicitor will work out the service charge due from that property from the date of completion to the end of the financial year and collect this money on retention. This is then passed to Alfred when that part of the development is handed over to Alfred. If your neighbour completed on their property earlier in the year than you, they will be starting with a higher credit balance.

Complaints Procedure

In-house complaints procedure

We are committed to providing a professional service to all our clients and customers.  When something goes wrong, we need you to tell us about it.  This will help us to improve our standards.

If you have a complaint, please put it in writing, including as much detail as possible.  We will then respond in line with the timeframes set out below (if you feel we have not sought to address your complaints within eight weeks, you may be able to refer your complaint to the Property Ombudsman to consider without our final viewpoint on the matter).

What will happen next?

  • We will send you a letter acknowledging receipt of your complaint within three working days of receiving it, enclosing a copy of this procedure.
  • We will then investigate your complaint. This will normally be dealt with by the office manager who will review your file and speak to the member of staff who dealt with you.  A formal written outcome of our investigation will be sent to you within 15 working days of sending the acknowledgement letter.
  • If, at this stage, you are still not satisfied, you should contact us again and we will arrange for a separate review to take place by a senior member of staff.
  • We will write to you within 15 working days of receiving your request for a review, confirming our final viewpoint on the matter.
  • If you are still not satisfied after the last stage of the in-house complaint procedure (or more than 8 weeks has elapsed since the complaint was first made) you can request an independent review from The Property Ombudsman without charge.

This Privacy Policy applies to Alfred Property Management’s online workplace productivity tools and platform, including the associated Alfred Property Management mobile and desktop applications (collectively, the “Services”), Alfred Property Management.com and other Alfred Property Management websites (collectively, the “Websites”) and other interactions (e.g., customer service inquiries, user conferences, etc.) you may have with Alfred Property Management. If you do not agree with the terms, do not access, or use the Services, Websites, or any other aspect of Alfred Property Management’s business.

This Privacy Policy does not apply to any third-party applications or software that integrate with the Services through the Alfred Property Management platform (“Third Party Services”), or any other third-party products, services, or businesses. In addition, a separate agreement governs delivery, access and use of the Services (the “Customer Agreement”), including the processing of any messages, files or other content submitted through Services accounts (collectively, “Customer Data”). The organization (e.g., your employer or another entity or person) that entered into the Customer Agreement (“Customer”) controls their instance of the Services (their “Workspace”) and any associated Customer Data

  1. Information We Collect and Receive

Alfred Property Management may collect and receive Customer Data and other information and data (“Other Information”) in a variety of ways:

Customer Data. Customers or individuals granted access to the website by a customer (“Authorized Users”) routinely submit Customer Data to Alfred Property Management when using the Services.

Other Information. Alfred Property Management also collects, generates and/or receives Other Information:

Account Information. To update your account, you supply Alfred Property Management with an email address, phone number, password, domain and/or similar account details. In addition, Customers that purchase a Services provide Alfred Property Management (or its payment processors) with billing details such as credit card information, banking information and/or a billing address.

  1. Usage Information.

Services Metadata. When an Authorized User interacts with the Services, metadata is generated that provides additional context about the way Authorized Users work. For example, Alfred Property Management logs the channels, people, features, content and links you interact with, the types of files shared and what Third Party Services are used (if any).

Log data. As with most websites and technology services delivered over the Internet, our servers automatically collect information when you access or use our Websites or Services and record it in log files. This log data may include the Internet Protocol (IP) address, the address of the web page visited before using the Website or Services, browser type and settings, the date and time the Services were used, information about browser configuration and plugins, language preferences and cookie data.

Device information. Alfred Property Management collects information about devices accessing the Services, including type of device, what operating system is used, device settings, application IDs, unique device identifiers and crash data. Whether we collect some or all this Other Information often depends on the type of device used and its settings.

Location information. We receive information from you, your Customer and other third-parties that helps us approximate your location. We may, for example, use a business address submitted by your employer, or an IP address received from your browser or device to determine approximate location. Alfred Property Management may also collect location information from devices in accordance with the consent process provided by your device.

Cookie Information. Alfred Property Management uses cookies and similar technologies in our Websites and Services that help us collect Other Information. The Websites and Services may also include cookies and similar tracking technologies of third parties, which may collect Other Information about you via the Websites and Services and across other websites and online services. For more details about how we use these technologies, please see our Cookie Policy.

Third Party Services. Customer can choose to permit or restrict Third Party Services. Typically, Third Party Services are software that integrate with our Services, and Customer can permit its Authorized Users to enable and disable these integrations. Once enabled, the provider of a Third-Party Service may share certain information with Alfred Property Management. For example, if a cloud storage application is enabled to permit files to be imported, we may receive username and email address of Authorized Users, along with additional information that the application has elected to make available to Alfred Property Management to facilitate the integration. Authorized Users should check the privacy settings and notices in these Third-Party Services to understand what data may be disclosed to Alfred Property Management. When a Third-Party Service is enabled, Alfred Property Management is authorized to connect, and access Other Information made available to Alfred Property Management in accordance with our agreement with the Third-Party Provider. We do not, however, receive or store passwords for any of these Third-Party Services when connecting them to the Services. For more information on Third Party Services, click here.

Contact Information. In accordance with the consent process provided by your device, any contact information that an Authorized User chooses to import (such as an address book from a device) is collected when using the Services.

Third Party Data. Alfred Property Management may receive data about organizations, industries, Website visitors, marketing campaigns and other matters related to our business from parent corporation(s), affiliates and subsidiaries, our partners, or others that we use to make our own information better or more useful. This data may be combined with Other Information we collect and might include aggregate level data, such as which IP addresses correspond to zip codes or countries. Or it might be more specific: for example, how well an online marketing or email campaign performed.

Additional Information Provided to Alfred Property Management. We receive Other Information when submitted to our websites or if you participate in a focus group, contest, activity, or event, apply for a job, request support, interact with our social media accounts or otherwise communicate with Alfred Property Management.

Generally, no one is under a statutory or contractual obligation to provide any Customer Data or Other Information (collectively, “Information”). However, certain Information is collected automatically and, if some Information, such as setup details, is not provided, we may be unable to provide the Services.

  1. How We Use Information

Customer Data will be used by Alfred Property Management in accordance with Customer’s instructions, including any applicable terms in the Client Agreement and as required by applicable law. Alfred Property Management is a processor of Customer Data and Customer is the controller. Customer may, for example, use the Services to assign roles and configure settings, access, modify, export, share and remove Customer Data and otherwise apply its policies to the Services.

Alfred Property Management uses Other Information in furtherance of our legitimate interests in operating our Services, Websites, and business. More specifically, Alfred Property Management uses Other Information:

To provide, update, maintain and protect our Services, Websites, and business. This includes use of Other Information to support delivery of the Services under a Customer Agreement, prevent or address service errors, security, or technical issues, analyse and monitor usage, trends, and other activities or at an Authorized User’s request.

As required by applicable law, legal process, or regulation.

To communicate with you by responding to your requests, comments, and questions. If you contact us, we may use your Other Information to respond.

To develop and provide search, learning and productivity tools and additional features. Alfred Property Management tries to make the Services as useful as possible for Authorized Users. For example, we may improve search functionality by using Other Information to help determine and rank the relevance of content, channels, or expertise to an Authorized User, make Services suggestions based on historical use and predictive models, identify organizational trends and insights, to customize a Services experience or create new productivity features and products.

To send emails and other communications. We may send you service, technical and other administrative emails, messages, and other types of communications. We may also contact you to inform you about changes in our Services, our Services offerings, and important Services-related notices, such as security and fraud notices. These communications are considered part of the Services and you may not opt out of them. In addition, we sometimes send emails about new product features, promotional communications, or other news about Alfred Property Management. These are marketing messages, so you can control whether you receive them.

For billing, account management and other administrative matters. Alfred Property Management may need to contact you for invoicing, account management and similar reasons and we use account data to administer accounts and keep track of billing and payments.

To investigate and help prevent security issues and abuse.

If Information is aggregated or de-identified so it is no longer reasonably associated with an identified or identifiable natural person, Alfred Property Management may use it for any business purpose. To the extent Information is associated with an identified or identifiable natural person and is protected as personal data under applicable data protection law, it is referred to in this Privacy Policy as “Personal Data.”

  1. Data Retention

Alfred Property Management will retain Customer Data in accordance with a customer’s instructions, including any applicable terms in the Client Agreement and Customer’s use of Services functionality, and as required by applicable law. Depending on the Services plan, Customer may be able to customize its retention settings and apply those customized settings. Customer may also apply different settings to messages, files, or other types of Customer Data. The deletion of Customer Data and other use of the Services by Customer may result in the deletion and/or de-identification of certain associated Other Information. For more detail, please review the Help Centre or contact us at blockmanagement@pasto-realestate.com. Alfred Property Management may retain Other Information pertaining to you for as long as necessary for the purposes described in this Privacy Policy. This may include keeping your Other Information after you have deactivated your account for the period needed for Alfred Property Management to pursue legitimate business interests, conduct audits, comply with (and demonstrate compliance with) legal obligations, resolve disputes and enforce our agreements.

  1. How We Share and Disclose Information

This section describes how Alfred Property Management may share and disclose Information. Customers determine their own policies and practices for the sharing and disclosure of Information, and Alfred Property Management does not control how they or any other third parties choose to share or disclose Information.

Customer’s Instructions. Alfred Property Management will solely share and disclose Customer Data in accordance with a customer’s instructions, including any applicable terms in the Customer Agreement and Customer’s use of Services functionality, and in compliance with applicable law and legal process.

Displaying the Services. When an Authorized User submits Other Information, it may be displayed to other Authorized Users. For example, an Authorized User’s email address may be displayed with their profile. Please consult the Help Centre for more information on Services functionality.

Collaborating with Others. The Services provide different ways for Authorized Users working in independent areas to collaborate, such as shared channels. Other Information, such as an Authorized User’s profile Information, may be shared, subject to the policies and practices of the other user(s).

Customer Access. Owners, administrators, Authorized Users and other Customer representatives and personnel may be able to access, modify or restrict access to Other Information. This may include, for example, your employer using Service features to export logs of activity or accessing or modifying your profile details.

Third Party Service Providers and Partners. We may engage third party companies or individuals as service providers or business partners to process Other Information and support our business. These third parties may, for example, provide virtual computing and storage services. Additional information about the sub processors we use to support delivery of our Services is set forth at Alfred Property Management Sub processors.

Third Party Services. Customer may enable or permit Authorized Users to enable Third Party Services. When enabled, Alfred Property Management may share Other Information with Third Party Services. Third Party Services are not owned or controlled by Alfred Property Management and third parties that have been granted access to Other Information may have their own policies and practices for its collection and use. Please check the privacy settings and notices in these Third-Party Services or contact the provider for any questions.

Corporate Affiliates. Alfred Property Management may share Other Information with its corporate affiliates, parents and/or subsidiaries.

During a Change to Alfred Property Management’s Business. If Alfred Property Management engages in a merger, acquisition, bankruptcy, dissolution, reorganization, sale of some or all of Alfred Property Management’s assets or stock, financing, public offering of securities, acquisition of all or a portion of our business, a similar transaction or proceeding, or steps in contemplation of such activities (e.g., due diligence), some or all Other Information may be shared or transferred, subject to standard confidentiality arrangements.

Aggregated or De-identified Data. We may disclose or use aggregated or de-identified Other Information for any purpose. For example, we may share aggregated or de-identified Other Information with prospects or partners for business or research purposes, such as telling a prospective Alfred Property Management customer the average amount of time spent within a typical issue.

To Comply with Laws. If we receive a request for information, we may disclose Other Information if we reasonably believe disclosure is in accordance with or required by any applicable law, regulation, or legal process. Please see the Data Request Policy to understand how Alfred Property Management responds to requests to disclose data from government agencies and other sources.

To enforce our rights, prevent fraud, and for safety. To protect and defend the rights, property, or safety of Alfred Property Management or third parties, including enforcing contracts or policies, or in connection with investigating and preventing fraud or security issues.

With Consent. Alfred Property Management may share Other Information with third parties when we have consent to do so.

  1. Security

Alfred Property Management takes security of data very seriously. Alfred Property Management works hard to protect Other Information you provide from loss, misuse, and unauthorized access or disclosure. These steps consider the sensitivity of the Other Information we collect, process and store, and the current state of technology. Given the nature of communications and information processing technology, Alfred Property Management cannot guarantee that Information, during transmission through the Internet or while stored on our systems or otherwise in our care, will be safe from intrusion by others.

  1. Age Limitations

To the extent prohibited by applicable law, Alfred Property Management does not allow use of our Services and Websites by anyone younger than 16 years old. If you learn that anyone younger than 16 has unlawfully provided us with personal data, please contact us and we will take steps to delete such information.

  1. Changes to This Privacy Policy

Alfred Property Management may change this Privacy Policy from time to time. Laws, regulations, and industry standards evolve, which may make those changes necessary, or we may make changes to our business. We will post the changes to this page and encourage you to review our Privacy Policy to stay informed. If we make changes that materially alter your privacy rights, Alfred Property Management will provide additional notice, such as via email or through the Services. If you disagree with the changes to this Privacy Policy, contact the us if you wish to request the removal of Personal Data under their control.

  1. International Data Transfers Privacy Shield and Contractual Terms

Alfred Property Management does not transfer your Personal Data to countries other than the one in which you live.
